With the fields a Kenyan tax invoice is expected to carry.
No email address, no signup. It is a file — take it.
An invoice has one job: to get paid, without a conversation. Most invoices that go unpaid for ninety days are not disputed — they are missing a reference, a PIN or a payment instruction, and they sat in a tray while somebody meant to ask about it.
The accounts clerk cannot match it to an approved order, so it waits for somebody to ask. Quote their reference and it moves through on its own.
A tax invoice is expected to carry the PIN of both parties. Without it the customer may not be able to use the invoice to support their claim, and will come back to you for a new one.
Show the taxable amount and the VAT separately, by rate. If the customer has to reverse-engineer it, the invoice is already harder to process than the next one in the tray.
"Payable on receipt" is not a date. Put a specific one on it — you cannot chase an overdue invoice that never specified when it was due.
Bank details, paybill or till, and an instruction to quote the invoice number. Payments that arrive unreferenced are a reconciliation problem for both sides.
INV-2026-0042 tells everyone this is one of many and that your records are in order. "Invoice 7" invites a question you do not want asked.
It produces a document with the right fields on it. What it cannot do is transmit anything to KRA. If you are required to issue electronic tax invoices, read our plain-English eTIMS page — and if you want invoices that are raised and transmitted as you sell, that is what ProtechBooks does.
About Protech Docs See pricingNo, and no template can. This gives you a document with the right fields on it. eTIMS compliance is about transmitting the invoice to KRA as the sale happens, which is a system obligation rather than a layout. Our eTIMS page explains what is actually involved.
The essentials are the names, addresses and PINs of both parties, an invoice number and date, a description of what was supplied, the taxable amount, the VAT shown separately, and the total. Confirm the current requirements with KRA or your accountant, since they change.
If you are not registered for VAT you should not be charging it. Delete the VAT columns and the VAT summary and issue the document as an invoice rather than a tax invoice. If you are unsure which applies to you, ask your accountant before issuing either.
You can, and exporters often do. Put the currency clearly in the amount column and state the exchange basis if the customer will pay in shillings, otherwise you will be arguing about the rate on the day of payment.
