A delivery note is the cheapest insurance in your business. It is the only document that records what actually arrived, in what condition, and who accepted it — and it is the one people skip because the goods are already on the lorry.
The person signing at the gate should be checking quantities and condition, not seeing your margins. Keeping prices on the invoice and off the delivery note avoids an awkward conversation and speeds up the signature.
A signature with no name and no stamp is worth very little when somebody denies receipt eight weeks later. Ask for the name printed under the signature.
The condition block is the point of the document. "Two cartons short, noted at delivery" written and signed on the spot ends the dispute before it starts.
Two copies: one stays with the customer, the signed one comes back to you. The one that comes back is the one that matters, so have somewhere to file it.
This is how the customer's stores clerk and their accounts clerk end up agreeing with each other. Without it, your invoice and your delivery get reconciled by guesswork.
If you sent a different brand or size, write it in the remarks and have it initialled. A silent substitution discovered later reads as a short delivery.
Quotation, then invoice, then delivery note — the same customer and the same items entered three times, with three chances to get a quantity wrong. Protech Docs converts one into the next with the lines carried over, so the three documents cannot disagree. From KSh 999 a month.
About Protech Docs See pricingA delivery note travels with the goods from the supplier and is signed by the customer. A goods received note is raised by the customer's own stores when they book the delivery in. The two should agree, and when they do not, the signed delivery note is the evidence.
Normally not. The delivery note records what moved; the invoice records what it costs. Keeping prices off means the person signing at the gate is checking quantities rather than reading your pricing.
At least two: one left with the customer, one signed and returned to you. Three is common where the driver keeps one as well. The copy that comes back signed is the one with any value.
No. A delivery note proves goods arrived; an invoice requests payment. Business customers generally need both, and will match them to each other and to their purchase order.
